Architectural Review Committee Fees

Due to an increase in residents completing work without board approval, the following has been approved, and put into place (effective immediately):

ARC requests submitted with 31 days to process will incur no fees.

If an ARC Request is submitted with less than 30 days to process – or AFTER work has been completed, the homeowner will be charged a fee of $150 for review and processing.

NOTE: Any violation already carries a fee of $100 per day, up to $1,000, and if any work done is not approved by the board, the homeowner risks being made to remove or change it at their own expense.

We are looking for 3 residents to serve on the CVHC (Covenant Violation Hearing Committee). To clarify the duties of this important role, here’s a further explanation of how the process works:

1). A resident informs the board of a violation.

2). The board sends a violation notice to the resident if they are, in fact, out of compliance.

3). The homeowner has 14 days to correct the violation, or receive a fine.

4). If the homeowner is unwilling (or unable) to make the correction, they can request a formal hearing to be presented to the CVHC which is made up of three unbiased residents in the community who are not affiliated with the board.

5). At this time, the board will contact the 3 person CVHC, who will gather, be presented with the evidence, and make a determination by voting whether to uphold the violation/fee, or make other recommendations to the board.

NOTE: This committee only meets when a decision for a violation must be made (and a hearing is requested). This will not be a time-consuming position, but it is a very important role. Resident Spotlight: Erin Kofoed, Board Secretary/Webmaster

My name is Erin Kofoed, I have an MBA, and I work for the State of Florida as a Disability Adjudicator. I came from a medical school where I built curriculum for virtual reality cadaver experiences for med students, and prior to that I worked in a third-party management company for 5 years where I personally managed 4 HOAs and did the marketing for 200+ residential/commercial properties. I am married to Aliex, who is a federal police officer. We have lived in California, Colorado, Kansas, and now Florida! We have one son, Zachary who is 23, and is finishing his senior year at Wichita State University. He’s also working full-time as a computer programmer. We have two cavaliers (Loch and Sassenach) and a Golden Retriever (Ladybird). They love the water and chasing lizards! The second we saw this neighborhood, we felt safe, and we saw neighbors walking on the street talking to one another. I like the close neighborhood where we’re within reach of our neighbors if something happens, and we’re also there to help our neighbors out. I enjoy golfing, crochet, reading, visiting local bars with the dogs on the patio, and taking the dogs to the beach. I figured that by joining the board, I could use my talents to try to build community in our tight-knit neighborhood.


RESIDENT QUESTIONS: We received an email communication through our prior website from a resident asking the board if meeting minutes would be made available to everyone regularly, and if website updates were on the horizon. It’s like you are reading our minds! The answer is YES! We can now announce this exciting update. WE HAVE A NEW WEBSITE! We have been working hard behind the scenes to launch our new website, social media group, and create strategies to improve resident engagement. Once meeting minutes are approved, they will be posted to the website monthly by our HOA secretary. In fact, our first meeting minutes (with our new board members in March 2025) are now live for you to view.

Say hello to Lenny, our pet of the quarter—a golden retriever who’s a true ray of sunshine! At just a year and a half old, Lenny has already shown incredible resilience, surviving a serious and rare illness with the kind of strength that inspires everyone who meets him. He’s the definition of sweet and loving, always ready for a cuddle or belly rub, and never misses a chance to play. Whether he’s joyfully chasing ducks around the neighborhood, splashing in the water, or patiently waiting for his two greatest obsessions—pup cups and popcorn—Lenny is a shining example of strength wrapped in pure sweetness, reminding us every day that strength and love come in all shapes—and sometimes, with floppy ears and a heart of gold.

YARD OF THE QUARTER: 7951 LINKSIDE DR

If you’ve strolled along Linkside Drive lately, you’ve probably noticed THIS stunning yard really come together this spring! The board is excited to recognize Blake for all the efforts and pride he has put into his yard. He added a new iron fence, a water fountain, trees, shrubs, planters, mulch, and new grass. He also diligently submitted his ARC Request to make sure everything was in compliance prior to starting any work. If you see him out watering his grass, congratulate or thank him for helping make Linkside at Baymeadows a beautiful place to live.

This local bar celebrates veterans, and has an impressive on-site brewery available for tours. They offer food trucks, live music, trivia, and a great sense of the Baymeadows community. Summer Maintenance Tips: Here are some interesting/helpful tips for any homeowner! In the summer, focus on maintaining your HVAC system, cleaning gutters, inspecting your home’s exterior, and ensuring your irrigation system is functioning correctly. Here’s a more detailed breakdown of summer maintenance tips:

  • HVAC System:
    • Regularly change or clean air filters:Dirty filters restrict airflow and make your AC work harder, increasing energy consumption. 
    • Schedule professional HVAC maintenance: A tune-up can ensure your system is running efficiently and identify potential problems before they become major issues. 
    • Check for leaks around your AC unit: Leaks can lead to water damage and reduce cooling efficiency. 
    • Clean refrigerator coils: Dirty coils can make your refrigerator work harder, leading to higher energy bills and potential damage. 
  • Exterior Maintenance:

HOA Board Members and Committees

COMMITTEES: We are looking for members to join our committees, please CONTACT US if you are interested in serving!

  • Architectural Review Committee (ARC) – oversees community architectural standards and approves requests for modification or updates.
  • Covenant Violation Hearing Committee (CVHC) – It shall consist of at least three (3) committee members, who shall be Members of the Association. CVHC shall be responsible for reporting violations of the Governing Documents, providing written notice, and serving on the hearing committee if a hearing is requested. Persons appointed to CVHC may not be officers, directors, or personnel of the Association, or the spouse, “life/civil partner”, parent, child, brother, or sister of an officer, director, or personnel of the Association. Persons serving on the CVHC may not serve on any other standing committee, within the Association.
  • Landscaping Committee – oversee the landscaping needs of the community common areas.
  • Social Committee – plan and carry out community events.
  • Newsletter/Website Committee – take part in shaping our newsletter, take assignments to provide quarterly highlights in the neighborhood.

Some Helpful Tips

TUESDAY AM YARD WASTE REMOVAL: yard waste (using your own cans), can be placed at the curb Monday night, and put your trash bins away ASAP after pick up.

WEDNESDAY AM TRASH PICKUP: Please place your trash bins out weekly on Tuesday night, and put it away ASAP after pick up.

EVERY-OTHER WEEK THURSDAY AM RECYCLABLES AND HEAVY ITEMS: Place your recyclables, and heavy bulk items out every-other Wednesday night, and make sure they are put away Thursday ASAP after pick up. CLICK HERE to see JEA guidelines for bulk removal and allowed items. To request collection service or report a problem with collection, please call (904) 630-CITY (2489) or visit the MyJax online customer service website at myjax.custhelp.com.

REMINDER: Please do not leave bins out more than 24 hours max. Do not place your bins anywhere on your property that is visible from the street. If you need a trash can or recycle bin, contact JEA.

FRONT YARDS: All plans for construction improvements (outward appearance of existing or new paint colors, decorative sculptures, wrought iron fencing, back-yard pools, etc.) must be approved by the board. You must submit an ARC request and receive approval prior to any modifications. Plants do NOT require approval to add, but you DO need approval to REMOVE trees (if measuring more than 4 inches in diameter at the trunk base), as they add beauty to the neighborhood, provide much needed shade, and are a beloved feature we all strive to protect. Residents must ensure their property is maintained in a “neat and attractive” manner in accordance to the covenant which includes “roof, gutters, downspouts, exterior surfaces, glass, screen doors, air conditioner, heating units, driveways, and any other improvements.” Signs and billboards need approval.

BACK YARDS: You only need approval for back yard decor, plants, gazebos (etc.) if they are visible from the street, or cause a hardship for a neighbor. If you’re unsure, just shoot us an email and we will be happy to give guidance.

NEIGHBORING PROPERTY ACCESS: Our properties are all inter-connected, many with zero lot lines. If you attach anything to a neighboring home wall (hanging plant pots, an attached lanai), you take responsibility for any damages caused to the structural integrity of the neighboring home. If you need access to a neighbor’s yard to assess or modify your property, you must give 24 hours notice to enter. Some properties may have French drains or other underground investments on your side of the property line, so please check with your neighbors before you dig.

PARKING: Resident parking is in your garage or driveway only. There is no street parking for residents. Visitors may park on the street for a maximum of 24 hours. We do have neighbors that patrol the streets and leave helpful reminders for cars that are out of compliance. Why? Our streets are very narrow, and street parking makes it hard (or impossible) to pass for emergency vehicles and trash trucks. Sorry, but no boats, trailers, or recreational vehicles may be parked at any home for a duration of more than 24 hours (unless in a garage). Please try to avoid scheduling large repairs (that limit road access) on trash days if possible!

ANNUAL DUES: Currently, (2025) the HOA dues are $550 per year, and are due annually by February 28th. The dues pay for the maintenance and improvements of the 6 common areas (landscaping, watering/irrigation, benches), street lights, street signs, community signs, street paving/repairs, sewer drainage systems, community insurance, a post office box for mailed communications, storage unit, community events, and a community website.
